Effizene Biztech Private Limited (“we”) operates Glide Sports, an app coaches use to run their sports academies. This policy explains what we collect, why, and what you can ask us to do about it. It is written to meet India’s Digital Personal Data Protection Act, 2023.

What we collect

  • Coaches and parents: phone number (used to sign in), name, preferred language, and an optional profile photo.
  • Clubs: club name, description, venue addresses and coordinates, contact details, photos, and your UPI ID and payee name so parents can pay you directly.
  • Students (children): name, date of birth, an optional photo, medical notes and emergency contact — all entered by the parent or the coach.
  • Activity: attendance records, fee dues and payments, payment screenshots parents upload, progress levels and report cards.
  • Technical: device push token for notifications, and crash and usage diagnostics.

Children’s data

Children never hold accounts on Glide Sports. Every child’s record belongs to a parent or guardian account, and only that guardian and the staff of the club the child is enrolled in can see it. We do not profile children, do not show them advertising, and do not track them for any purpose beyond running their club. A parent may correct or delete their child’s record at any time from the app, or by writing to us.

Why we process it

To provide the service you asked for: showing a coach their roster, letting a parent see what is due, verifying that a payment matches a due, and notifying guardians about absences, dues and announcements. We do not sell personal data, and we do not use it for advertising.

Payments

Fees a parent pays their coach go directly to that coach’s UPI ID. We never receive, hold or route that money. When a parent uploads a payment screenshot, we read the amount, reference number, payer and payee from it to match it against the due; that image is visible to the club’s admin and is deleted 180 days after the payment is settled, while the ledger entry remains.

Subscription payments coaches make to us are processed by Razorpay. We store the payment identifiers and amount they return; we never see or store your card or bank credentials.

Messages on WhatsApp

If you say yes when the app asks, we send fee reminders, payment receipts, absence alerts and class changes to the mobile number you signed in with, over WhatsApp. These are delivered through the WhatsApp Business Platform, run by Meta, which receives your number and the text of each message in order to deliver it. We only send messages about your own children and clubs, never advertising. You can stop them at any time from the app, or by replying STOP to any message.

Reading lists of students

A club admin can add the students they already have by photographing the club’s paper register or pasting a list. To read it, the photo or text is sent to an automated reading service — Google Cloud Document AI, or Anthropic’s Claude — which returns the names, dates of birth and parents’ numbers it finds. These services may process the data outside India; they handle it on our behalf only to return the result, and we don’t keep the photo. The admin checks and corrects every row before anything is saved.

Suggested messages

A club admin can ask for a suggested WhatsApp message — a reply to a trial request, a check-in when a child has been missing classes, or a fee reminder. To write it, Anthropic’s Claude receives only what the message needs: for a trial reply, the parent’s message, the child’s age and the club’s batch times and venues; for a check-in, how many recent classes were missed, when the child last came and when the next class is; for a reminder, when the fee was due. Children’s names, amounts and payment links are added afterwards on our side and are not sent. The admin reads and can change every message, and sends it from their own WhatsApp. A coach can also ask for a suggested remark on a child’s monthly report card; Claude then receives the child’s age, the month’s attendance count, the levels reached and the month’s skill ratings — not the child’s name — and the coach edits the remark before saving it.

Session plans

A coach can ask Claude to plan a class for one of their batches. It receives the sport, the batch’s level and age group, how many children are in it, the batch’s average rating for each skill and anything the coach types as a note. No child’s name, rating or other record is sent. The plan is saved for the club’s coaches, who read it before using it.

Monday briefing

Each Monday, coaches of Pro clubs get a short summary of their club’s week. Claude receives counts only: classes held and cancelled, attendance percentages, how many students joined or left, how many children may need a check-in and, for the club admin, fee totals and the number of trial requests. No names or individual records are sent.

Voice notes

A coach can speak a note after class. The phone’s own speech recognition (on Android, Google’s speech service) turns it into text; we never receive or keep the recording. Claude then receives that text, the names of the students in the batch (so it knows who is meant), the club’s skill and level names and the batch’s class dates, and suggests actions such as a skill rating or a cancelled class. Nothing is saved until the coach confirms each one.

Who can see what

Access is enforced in the database itself, not just in the app. Club staff see only their own club’s data. Coaches other than the club admin cannot read fee plans, dues, payment proofs or subscription details at all. A parent sees only their own children’s records. A club’s public page shows only the details the club chose to publish.

Where it is stored, and for how long

Data is stored with Supabase (PostgreSQL and object storage). Payment screenshots are held in a private bucket reachable only through short-lived signed links, and are purged 180 days after verification. Other records are kept while your club is active and for a reasonable period afterwards for accounting purposes.

Your rights

  • Access and correct your data, and your children’s data, from within the app.
  • Ask for your account and its data to be deleted — see Delete your account.
  • Ask for a copy of your data in a portable format.
  • Withdraw consent, and nominate someone to act for you if you cannot.
  • Complain to the Data Protection Board of India if we get it wrong.
